Terms & Conditions of Services
These Terms & Conditions outline how Sydney Coachlines provides charter bus, coach, and transport services. By making a booking, paying a deposit, or using our services, you agree to these Terms & Conditions.
Please take a moment to read them so you know how your charter will operate.
- Passenger Behaviour
To ensure a safe and enjoyable journey for all passengers:
- The driver is responsible for the safe operation of the vehicle at all times.
- Passengers must behave safely and respectfully.
- Sydney Coachlines may refuse entry or remove any person acting unlawfully, dangerously, or disruptively.
- The Hirer is responsible for all passenger behaviour and any damage caused to the vehicle.
- Smoking, vaping, and e-cigarettes are not permitted.
- The driver may terminate a charter if behaviour puts safety at risk.
- Passengers must not interfere with doors, emergency equipment, or internal fittings.
- Food and Drinks
To maintain vehicle cleanliness and safety:
- Food and drinks are not permitted onboard (except bottled water).
- All rubbish must be taken when exiting the vehicle.
- Cleaning fees may apply if the vehicle is left in an unreasonable condition.
- Alcohol
Sydney Coachlines does not allow alcohol on any service.
- No alcohol may be consumed onboard.
- No alcohol may be brought onboard unless prior written approval is given.
- If alcohol is consumed, the service may be terminated with no refund, and penalty/cleaning fees may apply.
Sydney Coachlines does not operate party bus services.
- Additional Fees and Charges
Additional charges may apply for:
- Route or schedule changes requested by the Hirer.
- Toll roads, parking fees, entry fees, or location access charges.
- Waiting time beyond the agreed pickup time.
- Cleaning, damage, fines, or penalties caused by passengers.
Waiting time fees:
- $30 per 15 minutes (minibuses)
- $50 per 15 minutes (coaches)
A 15-minute grace period applies before waiting time begins.
- Cancellations & Refunds
All cancellations must be submitted in writing.
Cancellation fees:
- Within 48 hours: 100% of charter fee
- 3 days prior: 70%
- 4 days prior: 50%
- 5 days prior: 35%
- 6 days prior: 20%
- 7 days prior: 10% (or deposit forfeited, whichever is greater)
If the vehicle has left the depot and the service is not used, full charges apply.
If Sydney Coachlines cannot provide the service due to mechanical failure, a partial refund will be issued for the portion not delivered. We do not cover indirect losses such as event tickets or accommodation.
- Tentative Bookings
- Tentative bookings are held for 3 days only.
- A 20% non-refundable deposit is required to secure your booking.
- Quotes
- Quotes are valid for 14 days.
- Prices may change if details of the charter are modified.
- Payments
- A 20% non-refundable deposit is required for most bookings.
- Full payment is due 7 days before the service unless otherwise agreed.
- Bookings within 7 days require full payment at the time of booking.
- Failure to pay may result in cancellation with full fees payable.
- Late accounts may incur interest and recovery charges.
Accepted payment methods: Visa, Mastercard, AMEX, Diners, and EFT.
We do not accept cheques or cash on the day.
Sydney Coachlines may charge the Hirer’s card for overtime, damages, cleaning, tolls, fines, or unpaid charter costs.
- Delays and Breakdowns
Travel times are estimates only.
Sydney Coachlines is not responsible for delays caused by:
- Traffic
- Weather
- Roadworks
- Accidents
- Mechanical issues
- Other factors beyond our control
Delays do not provide grounds for a refund.
- Driver Hours & Safety
Drivers must follow fatigue and rest regulations.
Routes or schedules may be adjusted for safety or legal compliance.
- Passenger Property
- Luggage is carried at passengers’ own risk.
- The driver decides if items can be safely stored.
- Sydney Coachlines is not liable for lost or damaged property.
- Lost property is held for 3 weeks before disposal.
- Vehicle Features & Equipment
- Vehicle features (e.g., DVD players) cannot be guaranteed.
- Substitute vehicles may be used if required.
- Public screening of films requires a valid licence supplied at least 48 hours before travel.
- Operational Requirements
- Sydney Coachlines may subcontract services when necessary.
- The driver may adapt the route for safety or operational reasons.
- Requests made during the journey are subject to driver discretion.
- Overnight & Extended Charters
For multi-day trips:
- A private hotel room must be provided for each driver (minimum 3-star standard).
- A meal allowance may apply.
- A full itinerary must be provided prior to the service.
- Complaints
Complaints must be submitted in writing.
Sydney Coachlines records complaints as required by NSW transport regulations.
- Notices & Signage
No signage or decorations may be attached to the vehicle without prior approval.
Associated costs may be charged to the Hirer.
- Governing Law
These Terms & Conditions are governed by the laws of New South Wales, Australia.
- Force Majeure
Sydney Coachlines is not responsible for service interruptions caused by events beyond our control, including severe weather, accidents, natural disasters, or government restrictions.
- Liability
Sydney Coachlines is not liable for indirect or consequential loss, including loss of income, missed events, or replacement transport.
Our maximum liability is limited to the charter fee for the affected portion of the service.
- Price Adjustments
Prices may change due to:
- Fuel increases
- Regulatory changes
- Market conditions
- Changes to the itinerary
- Prohibited Items
The following are not permitted onboard:
- Alcohol
- Decorations
- Smoking/vaping devices
- Glass items
- Spiked footwear
- Fuel containers
- Generators
- Illegal substances
- Entire Agreement
These Terms & Conditions form the full agreement between the Hirer and Sydney Coachlines and replace any previous verbal or written arrangements.
